How to use Solvex

A tenancy record has two sides. This is what each side does, from the first day of the tenancy to the last.

For landlords

You create the record and invite your tenant.

  1. 1

Sign in with UAE PASS. Your tenancy records open on the Cases page.

  2. 2

    Create the tenancy record

Choose New tenancy record and enter the property, the tenant, the dates and the rent. It takes about 10 minutes.

  3. 3

    Invite the tenant

Send an invitation link by email or SMS. The tenant opens it on any phone and signs in.

  4. 4

    Record the deposit

Enter the amount, the date paid and who holds it, and attach the transfer receipt. Solvex records the deposit; it never holds the money.

  5. 5

    Add move-in photos

Go room by room: entrance, living room, kitchen, bedrooms, bathrooms and balcony. Add a photo and a short note for each.

  6. 6

    Add move-out photos

When the tenancy ends, photograph the same rooms from the same angles so they can be compared.

  7. 7

    Compare

Open Compare to see the move-in and move-out photos of each room side by side.

  8. 8

    Dispute record and case file

If you disagree about something, open a dispute record with a factual statement, then download the case file.

For tenants

You check the record and add your own evidence.

  1. 1

    Open your invitation

Open the link in the email or SMS from your landlord and sign in with UAE PASS.

  2. 2

    Confirm or correct

Check each fact. Confirm it, or propose a correction with a short reason. Your landlord sees both.

  3. 3

    Check the deposit

Review the deposit details. If something is wrong, record that you do not agree and explain why.

  4. 4

    Add move-in photos

Add your own photos room by room, and acknowledge the landlord's photos that you agree with.

  5. 5

    Add move-out photos

At the end of the tenancy, add move-out photos of the same rooms.

  6. 6

    Compare

Compare move-in and move-out for each room, side by side.

  7. 7

    Raise a dispute record

If you disagree, open a dispute record or reply to one, with your statement and the photos it refers to.

  8. 8

    Download the case file

Download a PDF of everything recorded, with a fingerprint of every file, to share with a mediator or the competent authority.

Good to know

  • Use the same rooms and angles at move-in and move-out.
  • Keep statements factual: what, where and when.
  • Statements cannot be edited once sent, but you can always add more.

How to sign in with UAE PASS

It takes about a minute. This is what happens.

What is UAE PASS?

UAE PASS is the national digital identity for citizens and residents of the UAE. It lets you sign in to many government and private services with one secure account, using an app on your phone instead of a separate password for each service.

Before you start

  • A smartphone with the UAE PASS app, installed from your phone's official app store.
  • A verified UAE PASS account. If your account is not verified yet, the app explains how to verify it.
  • Your phone nearby, with notifications turned on for the UAE PASS app.

In this demo

The UAE PASS step is simulated. No real UAE PASS account, app or personal data is used. Instead of approving in the app, you pick one of the demo identities on a simulated consent screen and choose Allow and continue.

Step by step

  1. 1Select Sign in with UAE PASSOn the Solvex sign-in page, choose Sign in with UAE PASS. You are taken to the UAE PASS sign-in screen.
  2. 2Identify yourselfEnter the email, mobile number or Emirates ID linked to your UAE PASS account, as the screen asks.
  3. 3Approve in the appA request appears in the UAE PASS app on your phone. Check that it is for Solvex, then approve it with your PIN or your phone's biometrics.
  4. 4Consent to shareReview the details Solvex asks for: your name, email and mobile number. Choose to allow sharing to continue.
  5. 5Return to SolvexYou come back to Solvex signed in. Your cases appear, or you can create a new tenancy record.

Troubleshooting

I don't have a UAE PASS account

Download the UAE PASS app and follow its steps to create and verify an account, then come back and sign in.

The request did not reach my phone

Check that you entered the details linked to your UAE PASS account, that the app is up to date and that notifications are on. Then try again.

My mobile number has changed

Update your mobile number in UAE PASS first. Solvex receives the details held by UAE PASS each time you sign in.

The request timed out

Approval requests expire after a short time. Go back to the Solvex sign-in page and choose Sign in with UAE PASS again.

I declined by mistake

Nothing is shared when you decline. Start again from the Solvex sign-in page.

For problems with your UAE PASS account itself, contact UAE PASS support through its app or official website. For anything about Solvex, use the help centre. Open the help centre

Getting started

What Solvex is, who it is for and where to begin. · 5 questions

What is Solvex?

Solvex is a bilingual web service where a landlord and a tenant in Dubai keep one shared, factual record of a tenancy: the contract details both sides confirmed, the security deposit, move-in and move-out photos, and any disagreement with each side's statement. Everything is time-stamped and kept in order, so the facts are clear long after the keys change hands.

Who is Solvex for?

Tenants who want proof of the condition they received a home in, landlords who want an agreed record of what they handed over, and agents who manage a tenancy for a landlord. Authorised Solvex reviewers support the parties, and a dispute body can receive the case file when the parties take a disagreement to it.

What does Solvex not do?

Solvex does not hold, transfer, deduct or refund money, does not value damage, does not decide who is right and does not give legal advice. It has no artificial intelligence: no automatic damage detection and no automatic decisions. It records what each party enters and uploads, with the time Solvex received it.

Is Solvex an official government service?

No. Solvex is an independent service and this is an MVP under review. It is not a government platform and it does not replace Ejari registration, the Rental Dispute Centre or any legal process. Logo areas for UAE PASS and government entities stay empty until each one gives written approval.

How do I get started?

Sign in with UAE PASS. A landlord then creates a tenancy record from the contract and shares the invitation link with the tenant. A tenant who received a link opens it, signs in and joins the record. From there, both sides confirm the details, record the deposit and add move-in photos.

Signing in with UAE PASS

How sign-in works and what Solvex receives. · 5 questions

Why do I sign in with UAE PASS?

UAE PASS is the national digital identity. Signing in with it confirms who you are, so every entry, photo and statement on a record is tied to a real, identified person. You don't need a separate Solvex password.

What does Solvex receive from UAE PASS?

Only what you agree to share on the consent screen: your full name, a masked Emirates ID number, your mobile number and your email. Solvex never sees your UAE PASS password or PIN. Your profile shows these details; they come from UAE PASS and cannot be edited in Solvex.

I don't have a UAE PASS account. What should I do?

Download the UAE PASS app from your phone's official app store and follow its steps to create and verify an account. Once it is verified, come back and choose Sign in with UAE PASS. In this demo no real account is needed: you pick a fictional identity.

The approval request did not reach my phone. What now?

Check that you entered the Emirates ID, email or mobile number linked to your UAE PASS account, that the app is up to date and that its notifications are on. Then go back and try again. The full UAE PASS guide on this page walks through each screen.

How long do I stay signed in, and how do I sign out?

Each sign-in lasts up to 12 hours, then you are asked to sign in again. Sign out at any time from the account menu. Your profile lists your active sessions and lets you sign out of every other device at once.

Accounts and roles

Tenants, landlords, agents and Solvex staff. · 5 questions

What can a tenant, a landlord and an agent each do?

Your role is set per tenancy record. The landlord (or the agent acting for them) enters the contract details, invites the tenant and accepts or declines corrections. The tenant confirms each detail or suggests a correction. Both sides can record the deposit, add photos, respond to the other side's photos, open a dispute record, add statements and download the case file.

Can a property agent use Solvex for a landlord?

Yes. The agent role carries the same permissions as the landlord on that record: entering details, inviting the tenant and handling corrections. In this demo the seeded records have a landlord and a tenant; adding an agent from the screens is planned for the full service.

Can I be a landlord on one record and a tenant on another?

Yes. You have one account, and your role is decided by each tenancy record you belong to. My cases lists every record you are part of, with your role and the record's status on each.

How do I change my name, email or mobile number?

Your details come from UAE PASS, so Solvex cannot edit them. Keep them up to date in UAE PASS. If something looks wrong on a record, contact support.

Who are Solvex reviewers and administrators?

Reviewers help parties with corrections and disputes and can record an outcome decided outside Solvex. Security administrators look after access and the audit log. A read-only guest view shows aggregate, anonymised figures. None of them is a member of your record, and none can change what a party entered.

Creating a record and inviting the other party

From the signed contract to a record both sides confirmed. · 7 questions

Who creates the tenancy record?

The landlord, or an agent for the landlord, creates it and invites the tenant. If you are a tenant and your landlord has not started a record, ask them to create one on Solvex and send you the link.

What do I need to create a record?

The signed tenancy contract and the tenant's contact. You enter the property (community, building, unit, type and bedrooms), the Ejari or contract number, the start and end dates, the annual rent, and the tenant's name and email or UAE mobile. You then confirm the details match the contract to the best of your knowledge.

How does the invitation work?

Creating the record produces a one-time invitation link for the tenant. It works for 14 days and can be used only once. In the full service it is sent by email or SMS; in this demo nothing is sent, so you copy the link and share it yourself.

The invitation link expired or was lost. What now?

The landlord opens the record and chooses Create a new link. The previous link stops working at once, so only the newest link can be used. A tenant who sees an expired message should ask the landlord for a new link.

As a tenant, how do I review the details?

After joining, open Review details. For every value, choose Correct or Suggest a correction. A correction needs the right value and a short reason, for example that the contract says 13 September. The landlord sees exactly what you changed.

What happens after a correction is suggested?

The record shows Needs review. The landlord chooses Accept correction, which replaces the value, or Keep current value. Either way the earlier value, the suggestion, the reason and who decided are all kept in the record's history.

What do the record statuses mean?

Awaiting other party: the tenant has not joined yet. Needs review: a value is waiting to be confirmed or corrected. Recorded: the details are agreed. Dispute open: a dispute record is active. With external body: a dispute was referred outside Solvex. Closed: the record is complete and read-only. The colours are neutral on purpose; no status means approved or compliant.

Ejari details

How the Ejari number is recorded, and what is simulated. · 4 questions

What is Ejari, and how does Solvex use it?

Ejari is Dubai's system for registering tenancy contracts, run by the Dubai Land Department. Solvex stores the Ejari or contract number exactly as the landlord typed it from the contract, so the record points to the registered tenancy.

Is the Ejari number checked against the official register?

Not in this demo. Every tenancy detail shows its source, here Entered by a party, and nothing claims to be checked by the Dubai Land Department. If a number is wrong, the tenant suggests a correction during review, and the landlord accepts or declines it like any other value.

Will Solvex connect to Ejari in the future?

A connection is designed but needs the Dubai Land Department's approval. When it exists, a lookup will add information next to what the parties entered and never overwrite it. Where the register and a party disagree, both values are kept and marked for the parties to resolve; Solvex will not choose between them.

Does a Solvex record replace Ejari registration?

No. The tenancy contract must still be registered in Ejari as the law requires. Solvex is a shared record of facts and evidence that sits alongside that registration.

Security deposit

Recording the deposit. Solvex never holds or moves money. · 6 questions

Does Solvex hold or transfer my deposit?

No. Solvex keeps a record of the deposit only. The money stays with whoever received it, usually the landlord or the agent, and any refund or deduction is agreed between the parties or decided by the competent authority. There are no payment, release or refund buttons anywhere in Solvex.

Who records the deposit, and what is stored?

Either party can record it, once per tenancy. The record holds the amount, the date paid, the bank it was paid from, who holds it, and only the last four characters of the transfer reference, never the full reference or any account number.

Can I attach a receipt?

Yes. Choose Attach receipt on the Deposit tab and add a photo or PDF of the transfer confirmation. It is stored like any other evidence, with its time of receipt and its SHA-256 fingerprint.

What is the bank check?

In this demo, Request bank check asks a simulated bank whether a matching transfer exists, and shows the answer with a reference starting SIM-BNK-. References ending 0000 always return not found, to show that path. A real check would need the bank's agreement and both parties' consent.

I don't agree with the deposit record. What can I do?

Choose I don't agree with this record and give a short reason. Your disagreement is recorded next to the original entry, with your name and the time, and the original is not changed. You cannot contest a record you entered yourself.

How do I get my deposit back at the end of the tenancy?

The refund is between you and whoever holds the deposit. Solvex helps by keeping the evidence both sides need: the deposit record, the move-in and move-out photos side by side, and, if you disagree about deductions, a dispute record and a case file you can take to the Rental Dispute Centre.

Move-in condition record and photos

Capturing the home's condition on day one. · 6 questions

What is the move-in record?

Photos and notes showing the condition of each room when the tenant received the home, plus the keys handed over and the electricity and water meter readings. It is the baseline the move-out photos are compared with.

Who adds move-in photos?

Both parties can. Each side keeps its own photos and its own submitted record, and nobody can change or remove the other side's items. Ideally the landlord and tenant walk through the home together and both record what they see.

How should I take good condition photos?

Use good light and go room by room. Take one wide photo of each room, then close-ups of anything worth noting, such as marks, appliances and fixtures. Describe what each photo shows and add a condition note. At move-out, use the same rooms and angles so the photos can be compared.

Which files can I upload?

JPEG, PNG, WebP and PDF, up to 15 MB each. Solvex checks the type from the file's content, not its name, and refuses anything else. On a phone you can take a photo straight from the upload screen.

How do I respond to the other party's photos?

Open the photo and choose Acknowledge if it matches what you saw, or Add a comment if you see it differently. Your response is added under the photo with your name and the time; the photo itself is never changed.

What does Submit record do, and can I add photos afterwards?

Submit record saves the keys handed over, the meter readings and your notes as your formal move-in record, with the time. You need at least one photo first. You can still add photos later; each one shows its own time of receipt, so it is always clear what was added when.

Move-out and comparison

Handing the home back and seeing both moments side by side. · 4 questions

What is the move-out record?

The same kind of record as move-in, made when the tenant hands the home back: photos per room, the keys returned, final meter readings and notes. Both parties can add their own photos and submit their own record.

How does the comparison work?

The Compare tab puts move-in and move-out photos side by side, matched by room. Where a room has photos from only one moment, it shows No matching photo. Differences are for the parties to look at and discuss.

Does Solvex detect damage automatically?

No. Solvex uses no artificial intelligence or image recognition. It does not spot, measure or value damage. A person compares the photos, and any decision about deductions is made by the parties or by the competent authority.

We have no move-in photos. Is Solvex still useful?

Yes. Move-out photos still record the condition at hand-over, with trusted times and fingerprints, and both parties can add statements. The comparison simply shows no matching photo for those rooms. For your next tenancy, start the record before moving in.

Evidence integrity

Timestamps, SHA-256 fingerprints and history that is never rewritten. · 5 questions

Which time on a photo can I trust?

Received by Solvex is the trusted time: the server's clock when the file arrived. The device capture time, when the phone reports one, is shown too but marked not verified, because a device's clock can be changed.

What is a SHA-256 fingerprint?

When a file is uploaded, Solvex calculates its SHA-256 fingerprint: a 64-character code unique to that exact file. Changing even one pixel produces a completely different code. The fingerprint is shown on each file's detail page and listed in every case file.

How can I check a file was not altered?

Download the original and compute its SHA-256 yourself, for example with shasum -a 256 on macOS or Linux, or certutil -hashfile with SHA256 on Windows. If the result equals the fingerprint in Solvex or in the case file, the file is exactly the one uploaded. You don't need to trust Solvex's servers to do this.

Can anyone edit or delete a photo, a fact or a statement?

No one can edit them in place, including Solvex staff. A replaced photo is added as a new version that points to the old one; a withdrawn photo stays in the history marked as withdrawn. A corrected fact keeps every earlier version with who changed it, when and why.

What does append-only history mean?

New entries can be added, but existing ones cannot be rewritten. For the case timeline, dispute statements and the audit log, the database itself rejects any change, so the guarantee holds even outside the application.

Disagreements and complaints

Raising a complaint, responding and taking it further. · 9 questions

As a tenant, how do I raise a complaint against my landlord?

Open the record, go to the Disputes tab and choose Open a dispute record. Pick what it is about, for example the deposit amount, add the amount in question if there is one, write a factual statement (what, where, when) and point to photos already on the record. The landlord is notified and asked to respond.

As a landlord, how do I raise a complaint against my tenant?

The same way: Disputes tab, Open a dispute record. Choose the category, such as damage, cleaning or missing items, give the amount in question, write your statement and point to the move-out photos that show it. The tenant is notified and can answer with their own statement and photos.

What can a dispute record be about?

Deposit amount, damage, cleaning, missing items or other. One dispute record can be open on a tenancy at a time; once its outcome is recorded or it is closed, a new one can be opened.

How do I respond to a dispute raised against me?

Open the dispute and use Add your statement. Answer factually, and tick the photos on the record that support you, for example a move-in photo showing a mark was already there. Each side's statements stay separate and in order.

Can I edit or delete a statement after sending it?

No. Statements cannot be edited or deleted once sent; the database rejects it. If you need to clarify something, add another statement. Statements are limited to 3,000 characters, so keep them focused on facts.

Who decides a dispute?

Not Solvex. A dispute record collects both sides' statements and the evidence each points to. A decision is made outside Solvex: by agreement between the parties, through mediation, or by the competent authority such as the Rental Dispute Centre.

How do I take a dispute to the Rental Dispute Centre?

File the case with the Rental Dispute Centre through its own channels, then choose Record referral to the Rental Dispute Centre so the record shows it. In this demo a simulated reference such as RDC-SIM-2026-0417 is created. Solvex never files on anyone's behalf.

What should I bring to the Rental Dispute Centre?

Generate the case file with the purpose To submit to the Rental Dispute Centre. It bundles the parties, tenancy details, deposit, move-in and move-out photos by room, every dispute statement, the case history and the fingerprint of every file, in Arabic or English. Bring your contract and any documents the Centre asks for as well.

How is the outcome recorded?

When the dispute is settled between the parties or decided by an external body, a Solvex reviewer records the outcome as stated by that body. The record then shows Recorded again, and the outcome, who recorded it and when stay in the history.

Case file PDF

One document with everything on the record. · 5 questions

What is the case file?

A PDF of everything recorded on a tenancy, for your own copy, for mediation or to submit to the Rental Dispute Centre. Its cover states that it is a factual record, not a decision, valuation or legal opinion.

Who can generate and download it?

Any party to the record, at any time and in any status, even after the record is closed. A reviewer with time-limited access to the record can too. Every generation and every download is logged.

What is inside the case file?

A cover with the case and export references and the purpose; the parties; tenancy details with their sources; the deposit; move-in and move-out photos paired by room; each dispute with every statement; the case history; and a table of every file's SHA-256 fingerprint.

Can I get the case file in Arabic?

Yes. Choose Arabic or English before generating. The Arabic file is laid out right to left, while case numbers and fingerprints stay left to right. Text the parties wrote is shown as they wrote it, not translated.

Is the case file signed? How can someone check it?

It is not digitally signed in the MVP. Instead, Solvex records the PDF's own SHA-256 fingerprint, shown next to the download. Anyone with a copy can compute its fingerprint and compare, and can check each photo against the fingerprints listed inside.

Privacy, data and who can see what

Access is denied by default, and every access is logged. · 7 questions

Who can see my tenancy record?

Only the parties to that tenancy, plus a Solvex reviewer who has opened it for a stated reason. Everyone else is refused by default. Photos and documents are never public: each download re-checks that you are allowed to see it.

What happens if someone tries to open a record they are not part of?

They see a You don't have access page and nothing from the record. The attempt is written to the audit log with who tried and when, and file links for that record are refused as well.

When can Solvex staff open my record?

Only a reviewer, and only by choosing a reason code: dispute review, party support request, correction request or quality check, with an optional note. Access lasts two hours and then ends by itself. Reviewers can view, request a correction, record a referral or outcome, export and close, but never change what a party entered.

Can government entities see my record?

Not directly. The read-only guest view designed for a regulator shows only aggregate, anonymised figures and cannot open any record. An authority such as the Rental Dispute Centre sees your record only when a party gives it the case file.

What is the audit log?

A security record of every sign-in, every access to a record, every refused attempt, every staff access with its reason code, every export and every download. It is reviewed by security administrators and cannot be edited or deleted by anyone; the database rejects it.

What does the other party see about me?

Your name and the contact used for the invitation, your role, and everything you add to the shared record: confirmations, corrections, photos, responses and statements. They do not see your Emirates ID number, your other records or your account activity.

How long is my data kept, and how do I request a copy or a correction?

Records are kept for the retention period set out in the privacy notice, which is a draft under legal review in this MVP. You can download your case file at any time. Requests to access or correct your personal data go to support.

Language, accessibility and phones

Arabic and English, accessible screens, and installing the app. · 6 questions

Is Solvex available in Arabic?

Yes. Every screen and the case file are available in Arabic and English. Use the language switch at the top of any page; Solvex remembers your choice. Arabic pages read right to left, with case numbers and fingerprints kept left to right.

Is what the other party writes translated?

No. Captions, notes and statements are kept exactly as their author wrote them, so nothing is lost or changed in translation. An author can give both an Arabic and an English version where the form allows it.

What accessibility features are there?

Solvex aims to meet WCAG 2.2 AA in both languages: full keyboard access, visible focus, screen-reader labels and text that can be resized. The accessibility tools at the top of the page change the text size and turn on a high-contrast mode, and they remember your choice.

Can I use Solvex on my phone?

Yes. Solvex works in the browser of any modern phone, and every screen adapts to small displays. On the upload screen you can take photos with the camera directly, which is the easiest way to record a move-in or move-out.

Can I install Solvex like an app?

Yes, without an app store. On iPhone, open Solvex in Safari, tap Share, then Add to Home Screen. On Android, open it in Chrome and choose Install app or Add to Home screen from the menu. Solvex then opens full screen from its own icon.

How will I know when something changes?

Solvex sends an in-app notification when the other party joins, confirms the details or suggests a correction, adds evidence or opens a dispute, and ahead of the tenancy end date. The Notifications page shows what is unread. Email and SMS copies are simulated in this demo and not sent.

Demo and simulation

What is real in this demo, and what is simulated. · 5 questions

What is real in this demo and what is simulated?

The record-keeping is real: accounts, permissions, uploads, SHA-256 fingerprints, append-only history, the audit log and PDF case files all work as described. Every outside connection is simulated and labelled as such: UAE PASS sign-in, the bank deposit check, the Rental Dispute Centre referral and the planned DLD / Ejari lookup, as well as email and SMS.

Is the data in this demo real?

No. Every person, property, photo, contract number and bank reference is fictional. The demo banner on every page is a reminder. Please do not enter real personal data or upload real documents.

Who can I sign in as in the demo?

The simulated UAE PASS screen offers fictional identities, including Khalid Mansour (landlord), Aisha Rahman and Omar Haddad (tenants), Mariam Saeed and Saeed Al Marri (reviewers), Noura Hamdan (security administrator) and a read-only guest. Use a demo account instead is a faster picker for presenters and is recorded as a demo sign-in.

Will what I add in the demo be kept?

Not for long. The demo data is reset before demonstrations, so records, photos and statements you add may disappear. Messages sent from the contact form in the demo are not stored either.

How do I give feedback or report a problem?

Email mvp@solvexdev.com or use the contact page. Tell us what you were doing, which page you were on and, if you can, add a screenshot. Feedback on this MVP shapes the full service.
